This notice explains what personal information we collect, why we collect it, who we share it with, how long we keep it and what your rights are. It covers this website, the contact form, giving, and church life at The Potter's House Tottenham.

Who we are

The Potter's House Christian Fellowship Church Tottenham (registered charity in England and Wales, no. 1180076) is the controller of your personal information. This means we decide how it is used and are responsible for looking after it.

What we collect, why, and our lawful basis

When you use the contact form or email us

We collect your name, email address, phone number if you give it, and your message. We use this only to reply to you.

Our lawful basis is our legitimate interest in answering people who contact us. Because a message to a church may reveal your religious beliefs or details about your health, we also ask for your explicit consent before you send the form. You can withdraw that consent at any time by emailing us. This won't affect anything we did before you withdrew it.

Giving and Gift Aid

If you give by bank transfer, we see your name and the payment reference in our bank records. If you make a Gift Aid declaration, we keep your name, home address and a record of your gifts so we can claim Gift Aid from HM Revenue and Customs (HMRC).

Our lawful basis is our legitimate interest in managing donations, and our legal obligation to keep Gift Aid records for HMRC.

Church life

If you attend or join the church, we may keep your contact details and information about your involvement, such as connect groups, serving, baptism or children's registration for Kingdom Kids. This information shows your religious beliefs, so it is special category data.

Our lawful basis is our legitimate interest in running the church. We process special category data as a not-for-profit body with a religious aim, only about members, former members and people in regular contact with us, and we do not share it outside the church without your consent.

Safeguarding

Where there is a safeguarding concern, we record the information needed to protect children and adults at risk. We may share it with the local authority, the police or other agencies. Our lawful basis is our legal obligations and the substantial public interest in safeguarding children and individuals at risk, as allowed by the Data Protection Act 2018.

Photos, filming and livestreams

Our services are filmed and published on our YouTube channel, and we sometimes take photos at services and events for this website and our social media. Our lawful basis is our legitimate interest in sharing church life and preaching with people who can't attend.

If you would rather not appear, tell a member of the welcome team or email us. You have the right to object, and we will remove photos of you where we can. We ask a parent or carer for consent before publishing photos in which a child can be identified.

Visiting this website

Our website host, Netlify, automatically records technical information when you visit, such as your IP address, browser type and the pages requested. This is used to deliver the website and keep it secure. Our lawful basis is our legitimate interest in running a safe, working website. We do not use analytics or advertising tools, and we do not track you.

Cookies and third-party content

This website does not set any cookies and does not store anything on your device. Our fonts and images are hosted with the website, so loading a page doesn't send your information to anyone except our host.

Two features load content from other companies, but only when you choose to use them:

  • YouTube videos. Sermon videos load from YouTube (owned by Google) only when you press play. We use YouTube's privacy-enhanced mode, but once a video loads, YouTube may store cookies or similar data on your device. See Google's privacy policy.
  • Google Maps. The map on our Visit page loads only when you press "Show the map". Once it loads, Google receives your IP address and may store cookies on your device. See Google's privacy policy.

Pressing play or "Show the map" is your choice to load that content. If you'd rather not, you can watch our sermons directly on YouTube, or use the written address and directions link instead.

Links to Instagram, Facebook, TikTok and YouTube take you to those websites, which have their own privacy policies.

Who we share information with

We never sell your information. We share it only where needed:

  • Netlify, Inc. hosts this website and stores contact form messages for us, acting on our instructions.
  • HMRC, to claim Gift Aid on your donations.
  • Google (YouTube), which hosts our service recordings.
  • Statutory agencies such as the police or local authority, where the law requires it or to protect someone from harm.

Transfers outside the UK

Netlify and Google are based in the USA, so information they process for us may be stored there. These transfers are protected by safeguards recognised under UK data protection law, such as the UK–US data bridge or the international data transfer agreements in their data processing terms.

How long we keep information

  • Contact form messages: deleted within 12 months, unless you become involved in church life.
  • Gift Aid declarations and donation records: for as long as HMRC requires us to keep them.
  • Church life records: while you are involved with the church, then deleted or anonymised within a reasonable period after you leave.
  • Safeguarding records: for the periods recommended in safeguarding guidance, which can be many years.
  • Website server logs: kept by Netlify for a short period under its own retention rules.

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal information we hold about you
  • ask us to correct information that is wrong or incomplete
  • ask us to delete your information
  • ask us to restrict how we use your information
  • object to us using your information, including for photos and filming
  • ask for your information in a portable format, where this applies
  • withdraw your consent at any time, where we rely on consent

Some rights have exceptions, for example where we must keep records by law. To use any of these rights, email admin@phtottenham.com. We will respond within one month. We do not make decisions about you by automated means.

Complaints

If you're unhappy with how we have handled your information, please contact us first at admin@phtottenham.com. We will acknowledge your complaint within 30 days and let you know the outcome.

You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk/make-a-complaint or on 0303 123 1113.

Changes to this notice

We will update this notice if the way we use personal information changes. The date at the top shows when it was last updated.
